Booking stock in: delivery notes, goods in and purchase orders

Stock only becomes true when what arrives on the lorry is booked in the same day. There are three routes, and all three end the same way: a ledger movement in your name, costs updated if you want them to be, and anything a customer is waiting for allocated to their order.

    Upload the delivery note

    On Stock Management press Upload delivery note and drop in a PDF or a photo of the note from the driver — on a phone, take the picture there and then. It is read line by line and each line matched to your products by the supplier’s code, your SKU or the description. Nothing touches stock until you approve it.

    Review the matches

    The review screen shows each line as it appears on the note next to the product it matched, the quantity, the cost and the bin. Fix a wrong match by searching, skip a line that is not stock, and name the supplier and the delivery note reference. Tick Update product costs from this note if the costs on the note should become the products’ new cost prices.

    Or book goods in by hand

    Goods in is for a delivery with no document to scan: pick the product, how many arrived, the cost each if you want it recorded, the supplier’s reference and the bin. Tick Make this the product’s cost price to update the cost.

    Or receive against a purchase order

    Open the PO under Buying / Suppliers. Each line shows the quantity ordered and received so far; enter what has arrived and press Book in now. Part deliveries are fine — the outstanding quantity stays on order until the rest turns up. Put away sets the bin for a line as it is shelved.

    Let the orders take what they were waiting for

    When a booked-in line was short on a customer order, it is allocated to that order first and the order moves from awaiting stock to ready. The notification bell tells you when goods arrive against a PO.

Questions merchants ask

What if a product on the note is not in my catalogue?

Search for it on the review screen; if it genuinely does not exist, add it under Products first, then match the line. A product needs to exist before stock can be booked against it.

Does booking in change my selling prices?

No. It can update the cost price if you tick the option. Selling prices only move through Pricing → Repricing or a price list import that you tell to reprice.

Which branch does it go into?

The branch selected in the top bar. Stock is held per branch; use Transfer under Stock Management to move it.
