Why merchants move
Unleashed does stock, purchasing and B2B sales orders well. What it does not do is stand at a counter: there is no PIN-locked till, no cash drawer, no cash-up, no split tender, no walk-in sale that is done in twenty seconds while a queue waits. Merchants bolt a point-of-sale product on the side and then keep two catalogues in step by hand.
The second reason is the bill. Unleashed Core is priced per month with a cap on sales orders and a small number of users, and the things a merchant actually needs — a warehouse app, customer ordering, analytics, support, onboarding — are separate charges on top. The figures are further down this page, dated, so you can check them.
The third is that most merchants use a fraction of it. Batch and serial tracking, ten price tiers, multi-currency and manufacturing are built for wholesalers and makers. A builders’ merchant with one yard needs barcodes, supplier codes, minimum sale quantities, credit accounts and a stock figure it can trust.
What comes across
PlanIt EPOS reads the four files Unleashed’s Import / Export page produces. Nothing is re-keyed and nothing is guessed: each Unleashed field lands in a named place.

The import only ever adds what is not already there — by product code, customer code, supplier and barcode. Run it twice and the second run reports everything as already present. Stop it half-way and run it again and it carries on. A product that has been trading on PlanIt keeps its own stock figure; the export does not overwrite it.
What does not
We would rather say this here than have you find it on the day.
- Sell price tiers 1–10. PlanIt prices by band and by contract instead: a trade band with a rule per category, and a negotiated price per customer per product. Most merchants set these up in an hour from their trade margin.
- Batch and serial numbers. Not supported. If your business depends on lot traceability, PlanIt EPOS is the wrong product for you and we will say so on the call.
- Sales history, open orders, purchase orders and invoices. Unleashed does not export these in the four files, so they stay in Unleashed for reference. Trading starts fresh, with opening balances entered on each account.
- Document templates, nominal codes, multi-currency, assemblies and bills of materials.
- Payment terms such as “30th of month following” become 30 days, because PlanIt holds terms as a day count.
How the switch works
- Export. In Unleashed open Import / Export and export Products, Customers, Suppliers and Stock On Hand as CSV. Four files, a few minutes.
- Check. In PlanIt EPOS, Price Sheet Import → Moving from Unleashed? Drop the files in. It shows what will come in, what is skipped as obsolete, and what is left out. “Check first” runs the whole import without writing anything.
- Import. Products, barcodes, supplier codes, categories and units first; then suppliers, customers and accounts; then stock on hand as an opening count at your branch. A 60,000-line catalogue takes a few minutes.
- Trade. Set your trade margin under Pricing, give each member of staff a PIN, and sell. Other devices pick the catalogue up on their next sync, and it keeps working when the internet does not.

A merchant on Unleashed Core with standard support and the warehouse app pays £427 a month before onboarding, and still has no till. PlanIt EPOS with two tills is £128, with everything in.

Frequently asked questions
Do we have to stop trading on Unleashed while we switch?
No. Export, import and check PlanIt EPOS while Unleashed carries on. When you are happy, take the last stock-on-hand export, run the import again (it only adds what changed) and switch the counter over. Most merchants do it on a quiet afternoon.
Can we import only the products and add customers later?
Yes. Each of the four files is optional. Bring products first, trade on them, and drop the customers file in when you are ready — the import adds what is not there and leaves the rest alone.
What happens to obsolete products that still show stock?
Products marked obsolete or in a TO BE REMOVED group are skipped, but you can tick a box to bring in the ones that still show stock on hand — they are on the shelf, so they can be sold. They come in flagged, without a category, so they are easy to clear out.
We have more than one warehouse in Unleashed.
Stock lands at the branch you run the import from. If you have several yards, run the stock file once per branch, filtered to that warehouse code. Products, customers and suppliers are shared across branches so they are imported once.
Our suppliers send price lists; will those still work?
Yes, and better than before. Supplier part numbers come across from Unleashed, so a supplier price list in PDF, Excel or CSV matches on their code as well as yours, and cost changes are reviewed before they apply.
What about our accountant?
Sales invoices, credit notes, contacts and takings export in Xero-ready CSV. A live Xero connection is on the roadmap rather than shipped, and we say that plainly on the integrations page.
