Stock control

Running a stock take

A stock take in PlanIt EPOS is a count you can do a category at a time, with several people counting on their own devices, and nothing changes until the owner has looked at the variance and posted it.

  1. 1

    Start a count

Under Stock takes give the count a name and choose what to count — everything at this branch, or one category. Tick blind if the counters should not see the expected figure. One count runs at a time per branch; finish or cancel it before starting another.

  2. 2

    Count the shelves

Scan a barcode, or type a SKU, name or bin, and enter the quantity on the shelf. Counting saves as it goes, so two people can take an aisle each on their own phones. Print count sheet gives a paper list in bin order for anyone who prefers a clipboard.

  3. 3

    Review the differences

Press Review & post. Every line with a difference is listed with expected, counted and the value at cost, plus the lines not counted at all. Go back and recount anything that looks wrong before posting.

  4. 4

    Post it

The owner presses Post. Each difference becomes a count movement on the stock ledger, dated now, in their name. Sales rung through after a shelf was counted are not double-counted. The count is listed with its variance and can be reopened to read later.

Questions merchants ask

Do we have to stop selling while we count?

No. The count records the time each shelf was counted and allows for sales made after it, so the till keeps going.

What about products we did not count?

They are listed as not counted and left alone. Only lines with a counted figure are adjusted.

Where does the stock take appear afterwards?

On the Stock takes list with its variance, on the diary on the day it was done, and as count movements in each product’s stock history.
