Purchase orders and reorder suggestions

A purchase order is how the app knows what is coming. It keeps the on-order figure on the stock page true, gives the delivery note something to be received against, and tells a customer order when its short lines will arrive.

    Check what needs ordering

    Press Reorder suggestions (also reachable from Stock Management as Check what needs ordering). Press Refresh from sales history and the last 28 days of sales are analysed against stock on hand, on order and each supplier’s lead time. Each line shows on hand, on order, units per week, the suggested quantity, its cost and a plain-English reason — below the minimum you set, or not enough cover for the lead time. Dismiss the ones you disagree with.

    Raise the purchase order

    Press New purchase order, choose the supplier and add the lines with quantities and unit costs; the cost basis shows whether the line is per unit or per pack. Add a note such as the delivery day, and Save draft.

    • A product must have a supplier to go on a PO. Unlinked products are listed on the Buying page with a one-click Link them to a supplier.

    Issue it

    Open the draft and press Issue PO. It gets a number, the quantities show as on order across Stock Management, and you can print it or send it to the supplier.

    Receive it

    When the goods arrive open the PO, enter the quantity received on each line and press Book in now. A part delivery leaves the balance on order. Put away sets a bin as each line is shelved. The supplier’s page lists every PO and every delivery booked in from them.

Questions merchants ask

Do I have to raise a PO to book stock in?

No. Upload delivery note and Goods in both work without one. A PO is worth it when you want the on-order figure and the customer-order promises to be right.

How is the lead time used?

The supplier’s lead time in days, on the supplier record, is combined with the sales-per-week figure to decide when a line will run out and when to suggest reordering.
