Logins, roles and till PINs

There are two ideas to keep apart: a login is who can open the app and what they can reach, and an operator PIN is who is standing at the till right now. A yard with three logins might have eight PINs.

    Invite a login

    Under Settings → Logins enter a name and email, choose the role and, if you run more than one branch, a home branch. They get an email with a link to choose a password.

    Owners see everything. Staff get the till, customer orders, trading, history, products, stock, customers and cash up — no settings, pricing, buying, accounts, imports or reports. Most counters give the owner and the manager Owner logins and everyone else Staff.

    Add the people on the till

    Under Settings → Staff on the till add each operator’s name and a four-digit PIN. The till asks for a PIN before the first sale, after every sale and whenever Lock is pressed, and the operator’s name is recorded on the sale and printed on the receipt. Leave the PIN blank for a quick tap-to-switch till.

    Set which branch and till a device is

    The top bar shows the branch and, where a branch has more than one, the till. Set them on each device once — stock, cash-up and deliveries are all per branch, and each till keeps its own session. Branches and tills are added under Settings → Branches & tills.

Questions merchants ask

How many logins can I have?

As many as you need; the subscription is per till, not per person.

Someone has left. What do I do?

Remove their operator under Staff on the till and press Disable on their login under Logins. Their name stays on the sales they served.

What if two people have the same PIN?

The till asks which of them it is. Better to give everyone a different one.
