Opening a trade account and setting the terms

Cash customers need nothing more than a name. A trade account is a customer you extend credit to, and it collects the details that make credit safe: who to invoice, how long they have to pay, how much they can owe and what price they get.

    Create the account

    Under Accounts press + New account and enter the account name — the business or the person — with phone, email and address. If the customer already exists as a cash customer, open them under Customers and press Open account instead; their history comes with them.

    Set the credit limit and payment terms

    Credit limit is the most they can owe at once; 0 means no limit. Payment terms sets how many days after the invoice date payment is due, which drives the ageing, the reminders and the dashboard’s overdue figure.

    Add the contacts and delivery addresses

    On the customer record, several email addresses can be entered separated by commas — invoices and statements go to all of them. Delivery addresses holds their sites, yards and plots with a label each; the till and the order card offer them when a delivery is taken.

    • Some customers must have a reference on every document. Tick that on the customer and the till will not complete a sale, order or quote for them without one.

    Give them a price

    With no band, an account pays the Trade price from your trade margin. Pick a Price band for a group rate — Trade Silver, Trade Gold — set up under Pricing → Price bands. A price agreed for one customer on one product goes under Pricing → Contract prices and beats everything else.

    Watch it work at the till

    Picking the account on the till (F2) switches to Trade pricing, applies their band and contracts, and shows their follow-ups. Putting a sale On account checks the limit: an account that is on stop or would go over its limit is refused, and the order is marked Pay first.

Account status

  • Active — trades normally on account.
  • On stop — the till refuses on-account sales and open orders show Pay first. Use it while a dispute or an overdue balance is sorted out.
  • Closed — no more account sales; the history and ledger stay.

Questions merchants ask

Can counter staff open an account?

No. Accounts, credit limits and terms are owner-only. Staff can add cash customers, take on-account sales for existing accounts and see the customer’s history.

What does the customer’s VAT number do?

It prints on their invoices and credit notes. It does not change how VAT is charged.
