Account payments, statements and chasing overdue invoices

Getting paid on account is three habits: record every payment the day it arrives, send a statement every month, and let the reminders go out without anyone having to remember. All three live in two screens.

    See who owes what

    The Accounts page opens on the net owed to you, split into current, 31–60, 61–90 and over 90 days, then a table of every account with its balance, limit and status. Over-limit and on-stop accounts are flagged. The dashboard shows the same figures with what is due today and this week.

    Record a payment

    Open the account and press + Record account payment. Enter the amount, the method — bank transfer, cash or card — and a reference such as the BACS line. One payment is allocated across the oldest unpaid sales first, and the ledger below shows each receipt with gross, paid and balance.

    Produce a statement

    Print statement lays out every open item with the ageing and the total outstanding; Export statement gives the same as a file. The account’s payment terms decide what counts as overdue.

    Set up automatic reminders

    Under Settings → Chasing & statements enter the days after the due date to remind on, for example 3, 14, 28. Each step sends one email per customer listing everything they owe; the last step is worded as a final reminder. Due date is the invoice date plus the customer’s terms.

    Send monthly statements automatically

    On the same screen choose the day of the month statements go out. Each covers the previous calendar month. Accounts with no activity and nothing owing are skipped; customers with no email address are skipped and listed so you can post theirs.

Questions merchants ask

Can I allocate a payment to a specific invoice?

Payments are allocated oldest-first, which is how most merchants’ customers pay. To settle one invoice on its own, open that invoice from History and take the payment there.

Do reminders go to cash customers?

No. Reminders and statements are for trade accounts with an outstanding balance.

Where do the emails come from?
