Planning deliveries and van runs

Deliveries start as customer orders and end on a van board: a day, a vehicle, a driver and the drops in order. The board is the list the yard reads in the morning, and marking a drop delivered is what raises the invoice.

    Read the next 14 days

    The Deliveries & vans tab opens on a two-week list: date, slot, order, customer, phone, van and driver, address, the balance to collect and the status. Deliveries not yet on a van show on the day the customer asked for. Held orders that must be paid first are flagged.

    Plan a day

    Click a day in the delivery diary, then Plan day. Add a van with a name (Van 1, Flatbed, Local round) and an optional driver. Add another van for a second vehicle, or press + Load for a second trip on the same vehicle.

    Load the drops

    Every delivery not yet booked sits in the To be booked list on the right. Drag each one onto a van, and drag drops up and down to set the order. You can also press Book on a delivery, or book it from the order card itself with Book the delivery — pick the day, the van and a slot.

    • An order with no delivery address is flagged; add one under Edit details before the van goes out.
    • Booking a collection onto a van turns it into a delivery.

    Print the paperwork

    Print run sheet gives the driver the day’s drops in order with addresses, phone numbers and what to collect. Print delivery notes prints one note per drop, with the lines and a space to be signed on site. Each order also has its own picking list for the yard.

    Mark each drop delivered

    When the van is back, press Delivered on each drop. Enter any balance collected and how — cash, card or bank transfer — and who received it. Leave the amount blank on a trade account and the balance is invoiced to the account. A drop that was not delivered can be taken off the van and rebooked.

Pay before delivery

Nothing leaves the yard until it is paid or on account. Orders for cash customers with a balance, and for accounts on stop or over their limit, show PAY FIRST on the board and on the order. The business owner can override it on the day — deliver anyway — and the override is recorded against the order.

Questions merchants ask

Can two people plan the same day?

Yes. The board is shared: a drop booked on one device appears on the others when they sync.

What happens to the stock?

It was reserved when the order was taken and leaves stock when the drop is marked delivered, so the on-hand figure stays true while the goods are on the van.
